Can my Recruitment Agency manage my PFP application?

This is a FAQ BLOG and you can refer to our Pathways to GP Fellowship in Australia blog here.

Need help understanding your pathway?

Date Updated: 2024-09-24

The Pre-Fellowship Program (PFP) is managed by the Rural Workforce Agencies (RWA) for each state, and we have reached out to them to see if Recruitment Agencies (like us!) can help you through the application process.

Here’s what they said per state:

New South Wales: NSW Rural Doctors Network

Yes. They have stated in writing that they can communicate with us (the Recruitment Agency) for the setup of the Pre-fellowship Program (PFP). If you are ready to apply, you or your Recruitment Agency can send the details below to the RWA. You can email them at medirec@nswrdn.com.au or enquiries@nswrdn.com.au, and here are the details:

  • Proposed start date:
  • Practice name(s) and address(es):
    • If two or more practices, please specify the primary practice
  • Registration details:
    • attach Ahpra registration
  • PESCI result
  • Visa status (if relevant)
    • attach a copy of the visa
  • A copy of the current passport
  • Practice contact person’s full name:
    • Best contact number:
    • Email address:
  • Supervisor’s full name:
    • Principal Practice:
    • Best contact number:
    • Email address:

Once the RWA receives the complete details, it will be transferred to the Medical Workforce Consultant for the region.

Victoria: Rural Workforce Agency Victoria

No. We have received written confirmation from the RWA that only the Doctor should submit the application, and all the communication is done only with the Doctor and the practice manager/contact. Recruitment Agency cannot be nominated as a practice contact on the application, and the decision will be up to the Doctor if they want to share the status or communication with their Recruitment Agency. You can connect with them at GPprograms@rwav.com.au.

Queensland: Health Workforce Queensland

No. The RWA has stated that they do not allow Recruitment Agents access to a Doctor’s PFP application documentation because only the Doctor can access their documentation as per the Privacy Act and the employer practice manager/principal may follow-up on the Doctors’ PFP status. You can reach out to them at pfp@healthworkforce.com.au.

Western Australia: Rural Health West

No. We received their confirmation in writing that once the Doctor submits the expression of interest to join the PFP program, they will confirm the practice and the Doctor’s eligibility to join the program, and will email the application pack directly to the Doctor and the practice for completion. You can send them an email at PFP@ruralhw.com.au.

South Australia: Rural Doctors Workforce Agency

No. The RWA verified that they only liaise with the PFP applicants themselves as they are the subject of the application and are required to make declarations in the application (along with the practice representative and the nominated supervisor). You can reach out to them at ruraldoc@ruraldoc.com.au.

Tasmania: HR Plus

No. From our communication with them, they mentioned that the process is mostly automated and designed to be completed by the Doctor online. The Recruitment Agency cannot complete the application on behalf of the doctor, as it requires a declaration electronically signed, there is no paper alternative.

They also shared with us the details and application form here: Pre-Fellowship Program (Tasmania) | HR+ (hrplustas.com.au)

Please note that you must upload the following in PDF format:

  • Current Passport (Australian of Foreign)
  • Residency/Citizenship (Australian Visa, Australian Citizenship or Australian Birth Certificate)
  • CV/ Resume (Use the standard AHPRA format as per the guidelines found here)
  • Professional Development Plan (completed by the practice), or Supervised Practice Plan (as provided to AHPRA, form SPPA-30) +Registration (AHPRA certificate)

You can also reach out to pfp@hrplustas.com.au for any inquiries.

Northern Territory: Northern Territory PHN

As of this writing, the Northern Territory PHN has not yet given their response, but don’t worry—we’ll keep you posted once they do!

No. They have stated in writing that the Pre-Fellowship Program the processes are designed for the doctor to complete the application. If the applicant chooses a 3rd party assistance, they can so on their own accord, but RWA NT will not be accepting any forms / applications or other correspondence on behalf of applying doctors from 3rd parties.

Based on the responses above, the majority of the RWA do not allow Recruitment Agencies to handle the PFP application documents because of the declarations and signatures that need to be made during the process—but don’t fret! Because we can still help you with your AHPRA, PESCI, and Fellowship documents especially when you find a 3GA training program after PFP.
